Assistants for your back office

Hand off the work you keep putting off. You approve everything before it goes out.

Ready-made assistants that draft your replies, quotes, invoice reminders and weekly summary, working from your own business records. Set up for you by a person, for a fixed price agreed in writing.

Built so you stay in charge

You approve first

Anything that goes to a customer is drafted for you to read and send. You choose later which routine jobs can go out on their own.

Your records only

The assistants work from your own contacts, quotes and invoices, and your written rules. When they do not know, they say so and pass it to you.

A record of every action

You can see what each assistant did and when, so nothing happens in the dark.

What they handle

Five jobs most owners are glad to hand off

Enquiries

Customers go cold while you are busy

Every enquiry lands in one list. A reply is drafted for you to approve, and enquiries that go quiet are flagged.

Quotes

Quotes take your evening

A draft quote is built from the enquiry, ready for you to check, adjust and send.

Getting paid

Chasing money feels awkward

Unpaid invoices are tracked, and polite reminders are drafted at the right time for you to approve.

Receipts and bills

A shoebox of paperwork

Send in a receipt or a supplier bill and a draft entry is prepared for you to review.

Your week

You are not sure how the week went

A plain-language summary: new enquiries, quotes waiting, money owed, and what needs you.

Something else?

Tell us the job

If a person does it every week and dislikes it, we will tell you honestly whether an assistant can take it on.

One place for your records

The assistants work on a database you own

Your enquiries, quotes, invoices and the rest of your records live together in one system set up for your business, with daily backups. You can ask for a full copy of your data at any time.

  • Enquiries and follow-ups in one pipeline
  • Quotes that turn into orders and invoices
  • Invoicing with online card and PayPal payments
  • Supplier orders and what you owe
  • Stock across locations and deliveries
  • Projects, tasks and time billed to clients
  • Staff records, leave requests and job applicants
  • Newsletters and texts, with tracking of which campaigns work
  • A website and online shop that feed the same records
  • Courses and training with quizzes and certificates
  • Counter and restaurant sales that update stock

Honest limits

What we will not promise

They will not act alone on money

Assistants do not make payments or change prices. Those stay with you.

They are not your accountant or lawyer

They prepare and organize. Tax, legal and payroll decisions stay with the right professional.

Payroll and bank feeds are not included

We can prepare figures for your payroll service or accountant, but payroll itself is not run here.

Not every job suits an assistant

If a job needs judgment or a relationship, we will say so rather than sell you a fix that disappoints.

How it works

Start with one job, and measure it

1

Tell us the job

Pick the one task you most want off your plate.

2

Agree it in writing

A short call, then a fixed scope and price on paper.

3

We set it up

We set up that one job and note the hours it takes today.

4

See what it saves

Compare the hours after. Add more only if it earns its place.

Fixed prices, in Canadian dollars

What it costs

One job

C$1,250 one time

Set up one assistant job on your records, with the database configured for it and 30 days of adjustments after it goes live.

Best for a first job you want to measure.

The full set

C$2,950 one time

All five jobs set up on one database that you own, with 30 days of adjustments after go-live.

Best when enquiries, quotes, invoices and bills all need help.

Monthly care

From C$149 a month

Hosting, daily backups, monitoring and a monthly review of how the assistants are doing.

Starts after go-live. You can cancel with 30 days’ written notice.

Pay in instalments, at no extra cost

No interest and no admin fee. Payments follow the project, so you never pay far ahead of the work.

  • One job: 50% at signing (C$625), 50% before handover (C$625).
  • The full set: 40% at signing (C$1,180), 30% at day 30 (C$885), 30% before go-live (C$885).

Final files and go-live are released when the last instalment clears. If a payment fails we will tell you, you have five business days to put it right, and work pauses until it is.

Prices exclude sales tax. Your fixed price and scope are agreed in writing before you pay anything.

Questions owners ask

Will it make things up?

It is told to use only your records and your written rules, and to hand over to you when it is unsure. You read each customer message before it goes out.

Do I have to learn new software?

You review drafts and approve them. We set up the rest and show you where to look.

Does this replace my staff?

No. It takes repetitive work off people so they have time for customers.

What does it cost?

One job is C$1,250 and the full set is C$2,950, both one time, plus monthly care from C$149. You can pay in instalments at no extra cost. The scope and price are agreed in writing before you pay anything.

Where is my data kept?

In a database set up for your business, with daily backups. Ask us for the details of where it is hosted and we will tell you plainly.

Can I leave?

Yes. You can ask for a full copy of your data whenever you like.

Tell us your first job

A few words is enough. We reply personally, usually within one business day, and we will not send you marketing emails unless you ask for them.
